CommunicationTool for Presenting an Idea for Healthcare Improvement

Effectivecommunication in the healthcare framework is among the most valuablecomponents for boosting satisfaction among the patients, amenabilityand health results. The health workers, the management and theclients who are the patients need to establish a communication linkthat will facilitate information dissemination to the respectiveparties to ensure smooth and efficient running of the activities inthe institution (Katherine et al., 2013).

Dueto the dynamicity of the globe, many changes have been suggested toimprove the quality of healthcare in order to ensure satisfaction inthe entire process. As such, there are several communication toolsthat can be used by the providers of such ideas in order to lure themanagement in approving of their suggestions and providing funds toeffect the proposals. Such tools require determination and effectivepresentation that is convincing enough to make the ideas be accepted. For instance in this case the most preferable communication tool iswriting letters and emails to the management highlighting the ideafor upgrading the healthcare quality (Tavakoli, 2013).

Theletter is written and addressed to the management of the healthinstitution in which it will highlight the justification of theobjective. In the letter, I will clearly highlight my idea and adetailed explanation of the scope of the proposal as well as thesteps that the organization and the implementers of the idea willtake towards successfully achieving the intended objectives.

Iwill also highlight the benefits which will result from implementingmy idea to both the organization and the patients as a means ofjustifying the necessity to implement the proposed idea. In addition,I will include a cost report on the estimated funds that are requiredto successfully implement the objectives and a cost benefit analysisof the additional expenses that would be incurred if the situation isnot rectified as per my proposal. Finally, I will include anapproximation of the time that is needed for the idea to besuccessful.

Inthe selection of a communication tool to disseminate information fromthe personnel to the management, several aspects are put intoconsideration. Such include a cost-benefit analysis, the time aspect, accuracy and the effectiveness of the method. In the cost benefitanalysis, one has to choose that is less costly but most beneficialin the entire process of passing information across. The methodselected also ought to be quicker in passing the information ascompared to the other methods. The accuracy of the information isalso key as the method chosen has to be reliable in the delivery ofaccurate information and the information needs not to have anyalterations by the time it reaches the targeted audience. Inaddition, the communication tool has to be effective to ensure thatthe information reaches the targeted group and it is not lost alongthe way.

Inconsideration of the above aspects, it can be clearly seen that mychoice of the communication tool which is by sending an emailedletter to the management proves to be a suitable tool as it takesinto account all the key aspects of a good communication tool. It isless costly as the information is written by the use of electronicmedia and send without the information having to be printed on paperwhich would incur extra costs. Sending an email is faster as theentire process takes less time to send the information. The method isalso accurate as the information is send to the intended audiencewithout getting into contact with other unintended people. Lastly, sending an email ensures that the information sent only getsdelivered to the person(s) to whom it was being sent. Although thismethod is advantageous, it also has its limitations which includebeing tiresome and the need for computer literacy.

Differencesbetween Extrinsically Motivated Individuals and IntrinsicallyMotivated Individuals

Thereexists a stirring power that human beings use to attain theirobjectives that is referred to as motivation. Such a force isnormally employed to realize maximum preference and minimumsuffering. Intrinsic motivation is steered by need or pleasure in thework itself and happens within a person and does not rely on anyoutward influence while extrinsic motivation results from theexternal of a person and mostly driven by cash and performance andoppression (Seifert et al., 2012).

Individualswho are extrinsically motivated do things under the influence ofoutward factors and their performance is dependent on such forceswhile intrinsically motivated individuals do things due to their owndesire and willingness without being forced to do so by any externalinfluences.

Howto Motivate an Intrinsically Motivated Person and an ExtrinsicallyMotivated Person

Motivatingan individual to transform has proven to be a hindrance in promotinghealth and well-being due to the employees’ unwillingness to takepart in health promotion programs and this is the main setback inaltering healthcare practices. Motivating an intrinsically motivatedindividual demands that you make the person to be completely immersedin an activity such that nothing can derail them from the course(Reiss, 2015).

Byhelping individuals to identify their personal motives and profitsthrough specialized programs, intrinsic motivation will be enhanced.Intrinsic motivation is also enhanced by promoting self-mastery. Bydoing so, I will be emphasizing getting great individual control overone self’s behavior and aiding in boosting levels of individualgratification through enabling them to regulate elementary instinctsand deeds(Seifert et al., 2012). By teaching the intrinsicallymotivated individual to foster a sense of belonging and recognition. This encompasses agreeing with other people on a common goal orachievement. This is achieved by provision of opportunities toindividuals to be involved in programs and through suchaccomplishments personal fulfillment is enhanced and the general moodin the workplace is improved.

Throughharnessing the power of others by encouraging them to demonstrate tothe entire group their areas of expertise in order to portray theirexperience is a complimentary strategy for boosting self-pride andtherefore enhancing their intrinsic motivation. In addition, anintrinsically motivated person can be motivated by supporting theircreative process. This can be achieved by motivating them to takecredit of their health for example thus offering a platform for themto portray their selves as well as their worth by the decisions theymake. This strategy employs the innovative capabilities of the peopleto come up with operational answers to the health woes (Corpus etal., 2014).

Individualswho are extrinsically motivated can be encouraged by improving thesurrounding environment so as to motivate them to take part in theactivities around them. For instance in the scope of healthcare, suchindividuals can be motivated by increasing the number of healthcareprograms and workshops so as to encourage them to take part in such.

Promotionof health through programs and wellness has proven useful to motivateindividuals to participate. Intrinsic motivation is more productiveas compared to extrinsic motivation as seen in the discussion above.

Characteristicsof a performance driven team

Performancedriven teams work on the solid foundation that the level ofperformance is the most important factor to consider when working. They collectively work together with joint efforts directed towardsperformance optimization. Such a team is characterized by thefollowing (Carl &amp Ron, 2012):

  • Firm and profound conviction among people and the objective of the team- everybody is at liberty to express themselves

  • The members work towards achievement of similar objectives

  • Decisions are made based on a general agreement

  • Leadership in the team is dynamic in order to steer results

  • Each member respects other parties and the teams work.

AProgram For Improving the Quality of Healthcare

Purposeof the Program

Theexperience of patients in a health organization during treatment isof good use to both the client and the health institution. A goodexperience by patients markets the health institution thus providingmore customers as a result of the good services that the priorpatients received. On the contrary, a bad experience derails theorganization as it will receive few clients. The major roots of badexperience in a healthcare institution are scarcity of personnel, delays to offer treatment, bad services, inadequate resources, lackof medication as well as overcrowding. Such challenges impel thepatients to be unsatisfied with the quality of the services that theyreceive in the process. Therefore, there is the need for the qualityof services to be improved in order to maximize patient experience. For instance, technology ought to be improved in order to achievehigh quality care (Carroll et al., 2012). The use of electronichealth records is attuned to performance optimization and efficiencyin healthcare.

TargetAudience

Thisprogram is targeted to the workforces who are the key players inservice provision as well as the management who are the initiators ofthe implementation of objectives. The doctors, nurses as well as thecore workers need to improve performance quality in order to luremore patients to come to the organization for health services.Technology is an important factor that needs to be given theforefront in this process as it eases much of the work whose manualperformance is much tiresome as compared to the technologicalperformance. There is need for health records to be storedelectronically in order to ease congestion during service provision. The long queues during patient administration have to be reduced inorder to save both the patients’ as well as the healthcareproviders’ time by increasing the number of personnel (Millenson etal., 2012).

Themanagement can offer support to quality improvement through provisionof the material as well as knowledge-based support to facilitate thistransformation. The management can also offer support by constructionof bigger buildings that can accommodate large numbers of patients, thus making them the target audience in this improvement program.

Benefitsof the Program

Improvingthe quality of health care will be advantageous to the organizationbecause of the following reasons. Firstly, it will help in minimizingtime wastages in the organization. When the health records areelectronically stored, more time will be saved as retrieval of datafrom electronic databases is fast and the long queues will be reducedas the entire performance of the organization will be fastened. Thisis advantageous as it enables the healthcare personnel to serve manycustomers.

Secondly,it will increase customer satisfaction. Due to the fastened processin the health institution, many patients will be served according totheir needs and hence leave the health provision center satisfiedwith the quality of service that they were offered (Canadianinstitute for health information, 2012).

Thirdly, the overall income of the organization will increase as a result ofthe increased number of clients due to improved quality and lessincidents. The large number of clients will mean more income and lessexpenditure by the organization. This will increase the performancestandards as well as the income generating scope thus providing aplatform for the organization to develop as a result of increasedincome. Improved quality will increase the marketability of theorganization thus generating more clients.

BudgetJustification

Despitethe fact that the advantages of implementing this proposal are worthconsidering, the budget analysis that is needed before this successis attained is of critical significance. The organization will incurhigh costs in training the personnel on the effective use of thetechnology that has to be put in place, purchasing and set up of therequired technology as well as building additional facilities to accommodate the extra added equipment. But nonetheless, this is aone-time process that the company can be willing to sacrifice inorder to realize the fruits that will result in the long-run.

Thecosts that are to be incurred are less as compared to the benefitsattuned to implementing this strategy. The implementation of thisproposal as seen in the discussion above will result in more benefitsto the company in terms of money and less time wastage among others. Thus, it ought not to be viewed from the point of the costs to beincurred but rather from the basis of the eventual benefits that willcome from implementing it.

Basisfor Evaluation

Theprogram will be evaluated on the basis of a cost-benefit analysisstudy of all the required inputs. For instance, the technology willbe purchased on the basis of less cost and high performance in orderto minimize the costs to be incurred. It will also be based oncustomer satisfaction and performance optimization in order to easethe burden to be levied on the service providers.
