Featuresof a Word Document
Whenpreparing a word document, one can give it several attributes to makeit presentable, or t follow a required format. A document can havevarious styles, themes, and outlines that helps you formatting longerdocuments more efficiently when working in Microsoft Word. Accordingto Shoup (2012), a style is a named set of formatting instructions.Consider the default style, “Normal,” for example. In Normalstyle, the text is formatted as 11-point Calibri in a left-alignedparagraph, with line spacing set to 1.15 and 10 points of space aftereach paragraph (Shoup, 2012). By using direct formatting, changes aredirectly applied to selected content. Changes might include textformatting or alignment alterations of a paragraph.
Thereare five types of styles namely a paragraph, character, linked,table, and list. Word also provides Quick Styles, which are built-instyles with titles that suggest their intended use, such as Titlestyle and Heading style.
Atheme is a coordinated set of colors, fonts, and effects that helpgive a Word document a polished and professional appearance. Thereare forty-two different themes available to users of Word (Frandsen,2014). Outlines help keep a document organized by providing ahierarchy of the document’s headings. These headings can either bepromoted or demoted. When a heading is promoted, it is moved from alower level to a higher level, such as going from Heading 2 toHeading 1. When a heading demoted, it is moved from a higher level toa lower level. The Navigation pane is a helpful tool that allowsusers to browse an outline in a separate pane, either as pages of adocument or headings in a document.
Margins,page breaks, and page numbers are tools that help facilitateformatting long documents by shaping the aesthetic and practicalappearance of a document.
Marginsare the blank spaces between text and the edge of the document page.Margins appear at the top, bottom, right-hand, and left-hand sides ofthe page.
Thedefault margins in Word documents are set to one-inch. To alter themargins of the document, click the Margins button in the Page Setupgroup on the Page Layout tab. There are some predefined marginsavailable. Users can also click on the Custom Margins command to settheir margins.
Pagebreaks naturally occur when content fills one page and flows ontoanother (Parsons & Oja, 2014). These types of page breaks areoften referred to as soft page breaks. Users also have the option toinsert a page break manually to force content that appears after thebreak to appear on a new page. Page numbers, headers, and footers areintroduced into a document via a field. A field is a placeholder forvariable information that populates specific information onto everypage of a document (Parsons & Oja, 2014). Page numbers typicallyappear at either the top or bottom of a document.
Finally,a header is text that appears the top of a document within the topmargin. In the header, one can type the topic of the document orinsert his/her name. In addition, the page is indicated in the space.Footer is a text that appears at the bottom of a document within thebottom margin.
First,it was necessary to give the document an appropriate name. Theis an appropriate title since it reflects the primary idea of thewhole paper. Secondly, the article had overlapping ideas in theparagraphs. Therefore, it was necessary to divide the ideas intoindividual sections. Besides, the first paragraph did not have anintroductory sentence and it was introduced.
Also,the correct APA format was introduced with a title page, pagenumbers, running head, header and the relevant references. The newdocument has correct in-text citations, and a list of the sources puton the reference page.
